Full Time Secretary in Prestigious Private Medical Practice
A vacancy has occurred for a full time medical secretary in the office of one of London’s leading Consultant Cardiologists and a part-time Sexual health Physician based in St Johns Wood. It is a busy private practice and the successful applicant will be resourceful, motivated, a natural problem-solver, have excellent organisational skills and high level IT skills . Diary management and balancing competing demands will come naturally. Most importantly, the incumbent will have impeccable client focussed skills.
The secretary is responsible for the scheduling and maintenance of 3 cardiology clinics per week based at the Hospital of St John’s and St Elizabeth and 2 sexual health clinics based at HCA Healthcare at The Shard.
The Hospital of St John and Elizabeth (where the office is based) is a welcoming, friendly and enjoyable place to work and is a not-for-profit organisation that supports the work of the Hospice based on the same site.
The full time secretary works alongside a part time administrator who is on site one day a week to provide support of all ongoing medical work that may take place between 08.30hrs and 17.00hrs with one late clinic per week typically finishing by 18.30hrs. The administrator is almost exclusively responsible for credit control.
Prior experience of medical practice comes second to organisational ability and client focus.
The successful applicant will be responsible for:
Clinic preparation - booking appointments; preparing clinic files and ensuring all test results are present;
Document control - maintain filing systems for the practice; liaising with the typing service responsible for digital audio files; downloading, printing, mailing and photocopying as required; case note confidentiality and office security
The handling of confidential patient material in a sensitive and discrete fashion in accordance with the Data protection Act of 1984
Booking operations - liaising with other professionals to receive and send patients; facilitating patients’ cardiology work up; contacting appropriate hospital catheter laboratories or operating theatre; booking overnight stay or day bed as appropriate; providing full information to patients (notes and templates available); booking outpatient tests and investigations
Diary management - co-ordination of travel, meetings, clinical commitments, personal commitments and leave arrangements
Office management - the smooth running of the office using appointment systems and equipment; ordering and maintenance of office equipment and stationery stocks;
Booking meetings internally and externally
General support to the lead practitioner – to ensure workload is completed
The successful candidate needs to be:
Self-motivated, organised and self-disciplined
Professional with ability to be assertive when required
An excellent verbal and written communicator with high levels of both written and spoken English
A multi-tasker with ability to use own initiative and make decisions
An excellent time manager with strong prioritization skills
Friendly, amicable and happily self-motivated
The successful candidate will have the following qualifications:
Essential: A levels including 2 grades C and above.
CRB check
Work Visa UK
Desirable: AMSPAR
Graduate education
Skills
Essential: Good level of Microsoft office, including Microsoft Word, Excel and Outlook.
An ability to learn new software packages as required.
Desirable: Use of specialist software including PIMs, Midex Pro, Impax, Agfar and Xero .
Digital audio-typing to a good speed.
